# Welcome

The Privacy Pro LLC is a consulting firm headquartered in Portland, Oregon. We provide privacy consulting services to companies in the United States and Canada. We also offer a membership program for privacy professionals that is open to applicants from around the globe.

This Website Privacy Notice describes how The Privacy Pro handles personal information about visitors to our website, business contacts, and membership applicants. The Membership Privacy Notice applies to personal information processed as part of The Privacy Pro Professional Membership Program.

Privacy and transparency are core to who we are as a company, and we have done our best to make this Privacy Notice easy to read and to allow you to find what you’re looking for. We may update this Privacy Notice from time to time as our privacy practices or legal requirements change. We will update the date at the top when we do, and if we make material changes, we will provide additional notice to the people affected.

# How we collect and use personal information

The Privacy Pro provides consulting services to companies and offers membership to privacy professionals. The people we interact with are generally doing so in their business or employment context. We don’t market or sell to individual consumers, so we don’t intentionally collect their personal information. We do not knowingly collect children’s personal information.

## Website Visitors

Website Visitors include people who interact with our website or other digital properties such as social media pages.

### When you visit our website

We use cookies and other tracking tools to understand how people are finding and using our website. This helps us maintain, improve, and keep our site secure. We may try to learn more about our visitors, such as which company they work for and how to reach them. We use that information to try to get our ads in front of them on social media and other websites.

### When you request information from us

Our website has several ways to get in touch with us: you can submit a contact form, download a white paper, register for an event, book a meeting, or send a message. We will use your personal information to respond to you, and we will consider you a Business Contact going forward.

## Business Contacts

Our Business Contacts are the people we communicate with in the course of marketing, selling, and managing our products and services: clients, prospects, partners, vendors, and email subscribers.

### When you interact with us on behalf of your company

We use your personal information to communicate with you, and we may do some additional research about your current role in the course of trying to market our services.

We may use software tools that record our meetings with you. We will ask your permission to record meetings, and we are always happy to make the recording available to anyone who attended.

### When you subscribe to our mailing list

We keep our network up to date on the latest news, upcoming training courses, membership opportunities, events, industry insights, and other opportunities via email.

We use an email marketing solution called HubSpot. The tool automatically includes tracking pixels in each email that can tell us whether an email was opened and whether links were clicked. You can disable automatic image downloads, and the pixels won’t work and we won’t know if you opened the email.

If you wish to unsubscribe, just click the “unsubscribe” link at the bottom of every marketing email or send us an email at [privacy@theprivacypro.com](mailto:privacy@theprivacypro.com) and we will stop sending you marketing emails.

If you are a client or a member, you may still receive emails that are necessary to administer our relationship even if you unsubscribe from marketing.

### When you attend an event with us

We want our events to be inclusive and accessible. We may ask if you need any accommodations to participate. The information you provide may include sensitive personal information, such as information about a disability, health condition, or dietary requirement. Providing this information is always voluntary, and we will only use it to provide the requested accommodation.

We may record meetings or take photos or videos at our events. We will inform you if an event will be recorded or if photography or filming will take place.

## Membership Applicants

Membership Applicants are individuals who apply for The Privacy Pro Professional Membership. If your application is approved, the Member Privacy Notice will govern the personal information we collect and use in the course of administering your membership.

### When you apply for membership

If you apply for The Privacy Pro Professional Membership™, we collect information you provide to us, including your name, contact information (such as your email address, phone number, and mailing address), and professional profile information (such as your company, title, professional experience, and LinkedIn profile).

We may also review publicly available professional information about you to help us determine whether you meet the eligibility requirements and whether the membership is a good fit. Membership applications are reviewed and decided by a person, not through automated decision-making.

# Why we share personal information, and with whom

## Service Providers

To carry out the activities above, we use some tools, apps, and services provided by third parties. These are considered Service Providers because they are only processing personal information to provide the service or as directed by us, they are not allowed to use it for their own purposes.

Examples of Service Providers include:

- Sales and Marketing tools like HubSpot and CampaignMonitor
- Event Management tools like Luma and Cal.com
- Communication and collaboration tools like Google Workspace, Zoom, and Slack
- Professional services including legal, accounting, auditing, and advisors

We select Service Providers that we trust to handle personal information responsibly and use contractual and other measures to protect the information they process on our behalf.

## Other Business Purposes

Other ways we may use and disclose personal information in the course of operating our business include:

- To law enforcement and regulatory bodies to comply with lawful requests, subpoenas, search warrants, or orders by public authorities, including to meet national security or law enforcement requirements
- To a buyer (and its agents and advisers) in connection with any actual or proposed purchase, merger or acquisition of any part of our business, provided that we inform the buyer it must use your personal information only for the purposes disclosed in this Privacy Notice
- To any other recipient to protect the rights, property, or safety of The Privacy Pro, its employees, clients, members, or others

# How we handle personal information

## Where we process it

The Privacy Pro is headquartered in and processes personal information in the United States. Some of the Service Providers and third parties we use to run our business may store data in other regions. This means that your personal information may be transferred to or accessed from jurisdictions that may have different privacy and data protection laws than where you live.

## How long we keep it

We keep personal information for as long as necessary to manage our relationship with you and for legitimate business purposes such as maintaining business and financial records, complying with legal obligations, resolving disputes, and enforcing our agreements.

If you apply for membership and are not accepted, we delete your application information after one year.

When we no longer have a reason to keep personal information, we delete or anonymize it. Where deletion is not immediately possible, such as information contained in backups, we will prevent further use until it can be deleted.

## How we protect it

We use administrative, technical, and physical safeguards designed to protect the information we collect from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. These measures include encryption of data in transit, access controls that limit who can view or handle information, and regular review of our systems and vendor practices. No method of transmission or storage is completely secure, so while we work to protect your information, we cannot guarantee its absolute security.

# Your privacy rights

We honor the following privacy rights for everyone whose personal information we process, even if you’re not located in a country or state that grants them by law.

- Right to know what personal information we have about you, where we got it, and what we do with it, including the third parties we disclose it to and whether it is transferred to other countries.
- Right to access your personal information and obtain a copy of it in a human-readable format, without unreasonable delay or cost. You may also request it in a structured, commonly used format (data portability).
- Right to correct the personal information we hold about you if it is inaccurate.
- Right to delete your personal information.
- Right to opt-out of email marketing. You can opt-out by sending us a request, or click the Unsubscribe link that we include in each email message.
- Right to opt-out of profiling and automated decision making. We don’t conduct profiling to predict or evaluate behavior, and we don’t make decisions based solely on automated decision making technologies.

These rights are subject to some limitations. For example, we may need to retain information to comply with legal obligations, maintain financial or business records, resolve disputes, enforce our agreements, or protect the security and integrity of our business.

We might need to request more information from you to verify your identity, or if the request comes via an agent we may verify they are authorized to act on your behalf.
